Role Overview:We are seeking a highly organized, proactive, and resourceful individual to serve as Executive & Project Coordinator. This position supports our Head of Product Development & Operations with executive-level administrative tasks while also contributing to the coordination, tracking, and execution of key project implementations.The ideal candidate is detail oriented, tech savvy and comfortable balancing executive support duties with agile project coordination, helping to ensure that strategic goals and project timelines are achieved efficiently.Key Responsibilities:Executive Support
  • Manage calendar, including scheduling, prioritization, and conflict resolution across time zones.
  • Assist in preparing for meetings, including agenda preparation and minutes.
  • Take high-quality minutes, and track follow-up actions for any meetings required
  • Prepare presentations, reports, and briefing materials for leadership and stakeholders.
  • Draft internal communications and help act as point of contact for any questions.
  • Handle confidential information, communications, and document flow with discretion.
  • Act as a liaison between executives and internal teams where needed.
  • Perform general duties and occasionally support other Heads of Departments.
Project Coordination: Support implementations by tracking project milestones, task execution, and release deadlines.
  • Use internal software tools to manage tickets, update task boards, and track dependencies as needed.
  • Communicate updates and blockers to stakeholders, and ensure team alignment across functions.
  • Work closely with HODs and all roles within the client implementation lifecycle to ensure deliverables are on time and aligned with priorities.
  • Oversee the maintenance and execution of product documentation.
  • Any other duties as needed.
