Responsibilities:Event Operations & Project ManagementAssist with logistics setup and on-the-ground execution of event activitiesProvide on-site support during check-in, session transitions, and troubleshootingEnsure the physical environment is welcoming, branded, and well-organizedIdentify and document operational gaps to improve future event executionAssist with any last-minute coordination or issue resolutionVendor & Logistics CoordinationServe as the main point of contact for all external vendors and logistics providers.Coordinate directly with branding agencies, catering companies, and other service vendorsRespond to and manage all logistics-related vendor queries and requestsTrack vendor deliverables, timelines, and issue resolution to ensure smooth executionEnsure all vendor communications are well-documented and align with event requirementsInternal Coordination & CollaborationSupport cross-functional alignment for smooth execution of events and logistics.Liaise with relevant teams (e.g., marketing, admissions, facilities) to ensure logistics requirements are metParticipate in planning meetings and post-event debriefs to capture lessons learnedShare updated logistics documentation and timelines with internal stakeholders as neededRequired SkillsStrong interpersonal skills and experience supporting candidate/student or customer engagement.Excellent communication and problem-solving abilities.Ability to manage fast-paced tasks and respond effectively to issues in real-time.High attention to detail and discretion in handling sensitive information.Availability to be on-site during event weekends.Proficiency in tools such as Google Workspace (Sheets, Calendar, Docs) and messaging platforms (e.g., WhatsApp).
