Position Summary:UAE nationals are encouraged to applyNew York University Abu Dhabi (NYUAD) seeks to appoint a Kawader Program Coordinator reporting to Assistant Director for National Research Capacity Building and Research Programs.The Kawader Program Coordinator is the primary liaison for staff, researchers, and faculty, addressing inquiries and resolving issues related to program policies and activities. This role involves preparing and delivering presentations to share information effectively.Key responsibilities include involvement in the recruitment process, from screening applications to scheduling interviews, and acting as the first point of contact for potential applicants. The coordinator will manage the recruitment master-sheet, ensuring transparency and efficiency. The role also involves drafting and reviewing correspondence, presentations, and reports, ensuring accuracy and adherence to guidelines. The coordinator will maintain comprehensive spreadsheets and manage individual and departmental calendars, coordinating logistical arrangements and meetings.In budget monitoring and reporting, the coordinator will track the Kawader budget, in particular the OTPS expenditures and review expenses and invoices. Additional duties include updating and maintaining Kawader web pages, designing promotional materials, and performing general office support tasks such as photocopying, form processing, and managing mail distribution. The coordinator will assist in prioritizing office activities, delegate responsibilities to interns, and monitor their progress.Key Responsibilities:Kawader Recruitment Management:
Oversee the entire recruitment process, from screening applications via Interfolio to shortlisting CVs for supervisor review
Act as the first point of contact for potential applicants, providing information and guidance as needed
Schedule interviews and manage updates on the recruitment master-sheet, ensuring transparency and efficiency throughout.
Calendar and Logistical Coordination:
Manage individual and departmental calendars, scheduling appointments and coordinating logistical arrangements
Facilitate catchup meetings with researchers, ensuring smooth coordination and effective use of time.
Document Preparation and Review regarding the Kawader program:
Draft routine correspondence, presentations, and reports for supervisor review and approval, ensuring accuracy and adherence to guidelines
Provide meticulous proofreading and editing support to maintain document integrity
Expand responsibilities to include the creation and maintenance of comprehensive spreadsheets for various departmental needs
Kawader Information Hub and Liaison:
Serve as the primary point of contact for students, staff, researchers, and faculty regarding policies, procedures, office activities, and Kawader program specifics
Address general inquiries, application-related questions, and resolve routine issues independently. Consult with supervisors or relevant stakeholders for more complex matters
Prepare and deliver presentations to disseminate information effectively
Budget Monitoring and Reporting:
Take on a more active role in monitoring departmental budgets and grants, maintaining detailed spreadsheets to track expenses and allocations
Conduct regular reviews of expenses and invoices, investigating discrepancies and providing comprehensive reports to supervisors
Enhance oversight by managing Kawader OTPS and kawader fund, providing insights for strategic decision-making
Web Content Management and Design:
Update and maintain Kawader web pages to ensure they reflect current information and initiatives
Utilize desktop publishing software to design and produce visually engaging materials such as flyers and posters, contributing to the program's visibility and branding efforts
General Office Support
Oversee various clerical duties including photocopying, form processing, and maintaining office files and records
Manage mail and material distribution efficiently to support day-to-day operations
Task Prioritization and Delegation:
Assist in prioritizing office activities, ensuring timely completion of tasks and projects
Delegate responsibilities to interns, providing guidance and monitoring progress to maintain productivity
Qualifications:Required Education:
Bachelor's Degree
Required Experience:
1+ years proven experience in administrative or a similar role
Experience managing recruitment processes and handling budget monitoring
Strong understanding of program policies, procedures, and recruitment processes
Excellent organizational, communication, and presentation skills
Proficiency in document preparation, web content management, and desktop publishing software
Ability to manage multiple tasks, prioritize effectively, and delegate responsibilities.
